A good wedding pizza caterer should be able to explain how the whole service will work, not only show you an appealing menu. Ask about capacity, guest flow, access, dietary requirements, pricing and backup plans before paying a deposit.

Food and service

1. How will the pizza be served?

Whole pizzas made to order, shared slices and a continuously replenished buffet create different queue patterns. Ask what guests will actually experience.

2. How many guests can you serve in our window?

Give the caterer your likely guest count and the time available. A useful answer should account for preparation, oven capacity, staffing and whether guests arrive all at once.

3. How do you make sure everybody gets a first serving?

For a large group, the service plan should protect first portions before a smaller number of guests return for seconds.

4. How many pizza varieties do you recommend?

More is not always better. We normally begin with four choices because that balances variety with a steady cooking flow. Read our guide to choosing wedding pizza flavours.

5. What is included besides the pizza?

Confirm plates or boxes, napkins, condiments, serving equipment, staff, setup and pack-down. Ask whether sides and desserts are optional or part of the quoted package.

Venue and logistics

6. What access does the mobile setup need?

Share photos, access instructions and a venue contact. The caterer should identify vehicle dimensions, turning space, ground conditions and the distance to the serving point.

7. What space is needed while cooking?

The working area needs to stay clear of guests and venue traffic. Ask the supplier to describe a safe, practical footprint rather than relying on “we fit anywhere.”

8. What do you need from the venue?

Clarify power, water, waste, lighting and any other facility. Requirements differ between fully self-contained vehicles and other mobile setups.

9. What happens in bad weather?

Rain does not automatically stop mobile catering, but guests, staff and the route between the oven and reception need a plan. Ask who provides shelter and which ground conditions would be unsafe.

10. When will you arrive and leave?

The serving time is only one part of the booking. Venues often need setup and departure times for their supplier schedule.

Use our venue access checklist to capture these details.

Dietary planning and paperwork

11. How are dietary requirements handled?

List requirements early and ask how ingredients, preparation, cooking and handover are managed. “Gluten-free available” is not the same as guaranteeing there will be no cross-contact.

12. What food-safety and insurance documents can you provide?

Your venue may request evidence before approving an outside caterer. Ask what documentation is available and when it can be sent.

13. Who is the venue’s contact on the day?

Decide whether the caterer speaks to the coordinator, venue manager or a nominated member of the wedding party. The couple should not have to manage vehicle access during the reception.

Price and booking terms

14. What can change the final price?

Check guest deadlines, travel, menu changes, extra service time and venue complications. Our wedding pizza cost guide explains the main variables.

15. What are the deposit, cancellation and change terms?

Read the dates and amounts before booking. Ask what happens if the venue, guest count or wedding date changes.

Compare like with like

When comparing quotes, put the answers beside the price. The least expensive headline may exclude staffing, sides, travel or enough time to feed the group comfortably.
