Plan late-night wedding food for the number likely to be present and hungry when service opens. Start with the evening guest list, subtract expected early departures, then consider how substantial and how late the wedding breakfast was. Do not automatically order a full main meal for every invitation.
Count three groups separately
- Day guests likely to remain.
- Additional evening guests.
- Suppliers or staff you have agreed to feed.
Children may also have different attendance and appetite patterns, but they should still be included in the conversation.
Look at the earlier meal
A 4pm two-course meal creates a different appetite gap from a three-course dinner finishing at 7pm. Canapés, dessert tables and wedding cake also affect demand.

Consider evening arrivals
Some evening guests will eat before arriving unless you tell them food is planned. Mention the service on the invitation or wedding website so expectations are clear.
If evening guests arrive at 7pm and pizza opens at 9pm, assume their appetite may be stronger than that of daytime guests who have eaten throughout the afternoon.
Use the serving format
Shared slices let guests take a smaller first portion and return if they want more. That can suit late-night service better than treating every guest as an individual whole-pizza order.
The caterer should still protect first servings before opening unlimited seconds.
Avoid false precision
No percentage works for every wedding. A planner may suggest catering for a proportion of the total, but the correct proportion changes with schedule, guest age mix, transport and the earlier menu.
Give the caterer your best evidence and ask for a recommendation. Keep a sensible margin without creating a large amount of food waste.
Communicate final numbers
Confirm the number by the contractual deadline. If transport arrangements or evening RSVPs change materially, tell the caterer before ingredients and staffing are finalised.
